Systems your team will actually use

I help businesses move their quotes, jobs, bookings and paperwork out of notebooks, spreadsheets and WhatsApp and into one simple system. Then I stay until your team is using it every day.

Based in Swansea. In person across South Wales, or by video call anywhere.

Notebooks, spreadsheets, WhatsApp, email and a whiteboard all feed into one system, which produces quotes, jobs and invoices. Notebook Spreadsheet WhatsApp Email Whiteboard One system Quotes Jobs Invoices

Sound familiar?

Most of my work so far has been with trades firms, plumbing and building in particular. The same problems turn up in salons, workshops, shops, clinics and offices, and the fix works the same way.

86 hours a year. That's how long UK businesses hit by late payment spend chasing it, on average. Time that could have gone on paid work.Department for Business and Trade research, July 2025

  • Quotes get written at the kitchen table after a long day.
  • The week's jobs live on a whiteboard, or in one person's head.
  • The same customer details get typed into three different places.
  • Invoices go out late, and chasing them is nobody's job.
  • You paid for software once, and nobody really uses it.

Ways I can help

Most of this can be done with tools you can buy today, set up properly around how you work. Where nothing fits, I build it.

Win more of the work you're offered

I can't answer the phone from the top of a ladder, and by the time I ring back they've booked someone else.
  • Enquiries and bookings that don't need you to pick up. A form or online booking on your website, with an instant reply so nobody's left wondering.
  • Quotes in minutes, not evenings. Templates built from your own prices, sent from your phone before you've left the driveway.
  • Follow-ups on quotes that go quiet. A friendly nudge a few days later, sent automatically, so a yes doesn't slip away because nobody asked.
  • Reviews while the customer's happy. A request for a Google review goes out as soon as the job's marked done.

Get paid without the chasing

The invoices get done on a Sunday night, and then I spend the week chasing them.
  • Invoices out the moment the work is done. With a link to pay by card, so it's easy to pay you straight away.
  • Deposits taken up front. Taken off the final bill automatically, with no sums to do.
  • Reminders that send themselves. Polite, on a schedule you choose, and they stop as soon as the money lands.
  • Straight into your accounts. Connected to Xero or QuickBooks, so payments are matched without retyping.

Run the day without the whiteboard

The week's on a whiteboard in the office, and the team ring me to ask where they're going next.
  • One diary everyone can see. Who's where, what's next and what's still waiting, on every phone.
  • Job sheets and checklists on the phone. With photos, notes and a customer signature, instead of paper that goes missing.
  • Reminders that bring people back. A text before each appointment, and a nudge when an annual service or check-up is due.
  • Stock you can trust. Parts and products logged as they're used, so you know what to reorder before you run out.

Type it once, and see your numbers

The customer's name goes on the quote, the diary, the invoice and the accounts. By hand. Every time.
  • Your tools, joined up. Website forms, diary, email and accounts connected, so details are entered once and appear everywhere they're needed.
  • Spreadsheets you can't break. The one everything depends on, turned into something tidy that one wrong click can't wreck.
  • Your numbers on one screen. Work booked, quotes waiting and money owed, up to date without anyone pulling a report together.

Custom software, when nothing off the shelf fits

We tried software before. It did a hundred things, just not the one we needed.

Sometimes no ready-made tool fits how you work. Then I build something small and simple that does: a quote calculator for your pricing, a tracker for jobs or batches, a booking tool for an unusual setup, a customer portal. I'll always check first whether you can buy it, because that's usually cheaper.

The plumbing firm below started exactly this way, with a quoting app I built for his phone.

How it works

  1. A free 30-minute chat

By video call, or in person around Swansea. I ask how work moves through your business today. You get one of three honest answers: here's what I'd do, here's something you can set up yourself, or you don't need me.

  2. A fixed price the next day

In writing, with exactly what's included. No hourly rates and no surprises.

  3. Set up around how you work

If a ready-made tool fits, such as ServiceM8, I set it up properly with your prices, templates, customers and job stages. If nothing fits, I build something simple instead.

  4. Your team, using it

I train everyone and stay on for 30 days of support. The job is finished when the system is being used on real work, not when you're handed a login.

Recent work

A plumbing and building firm in Llanelli

Before
Quotes, jobs, deposits and customer history were spread across paperwork, email and memory.
What I did
Built a simple quoting app for his phone first. When the business needed staff scheduling and deposits too, I moved it onto ServiceM8 rather than build more: customers, price list, quote and invoice templates, and past jobs.
Now
Quotes, jobs and invoices all run from one system, and the team is being added to it.

Hi, I'm Mike

I live in Swansea with my family. By day I deliver systems projects, which mostly means getting teams off the old way of working and onto something better. Nodewell is the same job for businesses like yours.

I'll always try a tool you can buy before building one, I talk in plain English, and I don't count the job as done until you're using what I set up.

Tell me what's slowing you down

Tell me a little about your business, then pick a time for the free 30-minute chat. No obligation, and no sales pitch if it turns out you don't need me.
